How do I use Notes?

In the past, you may have used Excel or email to archive customer records which made finding specific information difficult. Now if you use Line or WeChat, although you can check it at any time, it is not convenient to classify, and the message history have the risk of disappearing.
If you don't want to miss any important information in communication with customers, you can use the function of Vital CRM, "Notes". In addition to recording the content of communication with customers, you can also classify the records. You can review them in the future, and you can filter by time and category, to quickly find out the conversation records between you and your customers.
There are four functions of "Notes" for customers.

Introduction of functions:
1. How do I add customer note?
You can archive customer records using customer notes as well as design the layout to make reading the record easier. In addition, you can record when and where you received the call that led to the note. Furthermore, you can attach photos, files or recordings to the note.
Customer note can be created from the home page or the customer information page.
(1) Quickly record notes on the home page
In the [Customer] tab, select a customer at [Choose Customer] and fill out the note. After confirming the content, click [Save] it to complete.
(2) Recording notes in the customer information page.
In the customer's information page you will see a text box that says "Enter Your Note Here" Enter the note there and press [Save] to complete.
2. How do I classify customer notes?
Before classifying the note, you must create note types. You can find it at
[Settings] > Customize Category [Note]. In addition, you can change colors and delete note types here.
Once set, you can select note types when you enter new notes, as shown in the following figure:

3. How do I search and export customer notes?
(1) Searching notes
Click [Filters] at the bottom of note text box on the home page. From here you can filter your notes by date, date modified, or note category.
(2) Export customer notes
You can export customer notes through [Settings]> Import/Export [Working Journal] (as shown in the figure). After filtering out the notes you want, you can export it as an Excel document.
4. How do I get notes to include work reminders?
If you are afraid of forgetting things that needs to be completed, in Notes, you can turn notes into tasks to remind yourself or others.
Click on gear icon on one note and choose [Assign task].
The system will pop up the settings window. Enter the execution date, tick the reminder field to help you follow-up.
